TERMS & CONDITIONS

These T&Cs let us run the event smoothly, providing an enjoyable and safe weekend for all.

All individuals attending Q-Con must agree to these:

EVENT NATURE AND PURPOSE

  • Q-Con is a student-run gaming and anime convention, delivered by the student committee of Queen’s University Belfast Dragonslayers Society. The event is subject to all relevant policies, procedures, and instructions of Queen’s University Belfast and Queen’s Students’ Union. The Dragonslayers Society assume primary responsibility for the delivery of Q-Con, under the auspices of their recognition as a Queen’s University Society.

  • Q-Con is intended as a fun, engaging, and welcoming Society event for Queen’s students and members of the public who enjoy all aspects of gaming and anime.

  • References herein to “Q-Con” as an entity, “the Q-Con team”, particular Q-Con volunteers, and so on, refer to the Queen’s University Belfast Dragonslayers Society sub-committee who deliver the convention.

BEHAVIOUR

  • All attendees should treat everyone at Q-Con with respect.

  • Attendees must not involve themselves in disorderly, disruptive, or illegal behaviour at Q-Con.

  • All attendees must comply with the instructions of the volunteers, venue staff, and signage at all times when attending Q-Con.

  • Attendees must not interfere with or cause damage to the venue’s electrical sockets, data network , building fabric, or similar.

  • All attendees must display their Q-Con wristband at all times while at the event.

  • Attendees must not enter restricted areas, except if necessary in the case of an emergency evacuation.

  • Q-Con expects all participants to follow government guidelines regarding COVID-19 or any other communicable diseases, whatever those may be at the time of the event.

    ACTIVITIES

  • In all Q-Con events the decisions of appointed officials are final.

  • It may be necessary to cancel or reschedule timetabled / advertised events due to unforeseen or uncontrollable circumstances - Should this happen, any competition registration fees will be refunded, and we will endeavour to provide a range of alternative events

  • All attendees of video screenings must ensure that their mobile telephones are switched off, and refrain from disruptive behavior

  • Any attendees bringing props, weapons or costumes must review and follow the Cosplay & Weapons policies. Attendees must ensure any such props and costumes are safe, securable and easily carried without assistance or interference to other attendees, volunteers or staff.

    MEMBERSHIP & ATTENDANCE

  • By attending the event, all attendees agree to follow on-the-day instructions from Q-Con volunteers and members of Queen’s University staff. All attendees are expected to treat Q-Con volunteers and Queen’s University staff with respect and courtesy throughout the event. If you are asked to moderate your behaviour, cease any activity, or leave the area, you are expected to cooperate with these requests promptly. If you feel you have been treated unfairly, you may raise this issue in writing after the close of the convention to the Queen’s Students’ Union Clubs & Societies team.

  • Convention tickets [AD4] are non-transferable. Tickets are only valid for the named individual they were purchased for.

  • Advance purchases including tickets and accommodation fees are non-refundable.

  • The convention organisers reserve the right to remove attendees in breach of these terms and conditions at any time. No refund will be given.

    DATA PROTECTION & RECORDING

  • Personal data will be collected and used for explicitly stated and necessary purposes only, i.e. to process your membership, inform you about future events, and to contact you about tournaments you have signed up for.

  • Photo and video recordings will be taken during the event by authorised Q-Con photographers and videographers. These recordings will be used for promotional purposes by Q-Con. No specific footage of any individual will be used without prior consent.

  • Attendees must show due care and respect to others when taking photographs and videos. Individuals should not be photographed or filmed illicitly, and you must respect anyone’s wish not to be photographed. Attendees must not capture identifiable images of children without the consent of the child’s supervising parent / guardian. Attendees seen to be engaging in illicit or inappropriate photography will be instructed to leave the event.

    OWNERSHIP & RESPONSIBILITIES

  • Anyone bringing personal belongings to Q-Con does so wholly at their own risk.

  • Purchases made from traders, artists or other organisations are direct transactions between the seller and attendee. Any issues relating to such purchases should be referred directly to the seller.

  • No responsibility is accepted by Q-Con, the Dragonslayers Society or Queen’s University if the convention is cancelled, closed early, or evacuated due to circumstances outside the Society’s or University’s control

    AGE RESTRICTIONS & SAFETY

  • Attendees under 12 years of age must be supervised and accompanied at all times by their registered parent or guardian.

  • Entry to the Students’ Union bar, participation in over 18 activities, and entrance to the venue after designated times is restricted to over 18s. Attendees should bring photo identification.

  • Under the Safeguarding Policies of Queen's University Belfast, when on university premises nobody may photograph anyone under the age of 18, unless they have explicit prior consent. 17 and 16 year olds can give their own consent to be photographed to photographers; but under 16s must have consent provided by their parent or guardian in advance of the event using the Q-Con form. All Q-Con attendees must abide by this Queen’s University Policy.
